
XFAIR provides our customers with our broad portfolio not only for major projects such as bauma in Munich, globally renowned events like Spielwarenmesse in Nuremberg or international events such as CBST in Shanghai. We also enjoy supporting our customers at smaller events, such as in-house exhibitions. This was the case from 1 to 4 April 2025 in Ditzingen.
Details about the project implementation
For its in-house exhibition, the customer needed a tool to manage invitations and registrations. Checking visitors in and out during the event and equipping an information desk were also important topics. Visitor accommodation was also to be handled via the XFAIR solution for hotel management.
XFAIR handled event registration via an online registration process with no fewer than six registration groups. This unusually high number of groups was used for precise internal assignment of visitors and staff. Once registration was completed, e-tickets with personalised QR codes were sent via automated confirmation emails from the XFAIR system. This allowed all participants - regardless of their registration group - to check in at the event by scanning their QR code at the information desk.
The customer divided visitors into groups assigned to account managers, who received dedicated access to the system to manage and plan their visitors. Using a similar licence, another person on the customer side managed hotel bookings and ensured guests were distributed across the available hotel allotments.

Thanks to the high flexibility of the XFAIR system - in this case, the online registration - the customer was able to offer tailored registration for visitors from different contexts as well as for staff, and ensure that the information relevant to each group reached them in good time. The complex dependencies between various criteria that were important to the customer could be integrated without any issues, ensuring a smooth process. The on-site technical support made sure that any challenge could be resolved in no time.
