
From 6 to 9 November 2024, Texcare International in Frankfurt am Main offered around 305 companies from 32 countries a stage for their innovations in automation and energy efficiency. Around 15,500 visitors from 122 countries didn't miss the spectacle. XFAIR was able to make our customer's work easier, especially when it came to lead capture.
Details about the project implementation
For this project, the customer needed support with lead capture and stand management. In addition, the customer's requirements included a catering system that was to be available to every stand team member. In this respect, XFAIR was able to provide a comprehensive service with our software solutions and technical know-how.
For this project, the first step was to import the provided staff data so it could be clearly displayed in our Event Management Software (EMS). Afterwards, our contacts on the customer side received access to XFAIR's hotel management solution. Since the database underlying this system is created individually per customer and event, we ensure compliance with data protection requirements (GDPR). This is, by the way, a measure that is applied for all our customers — regardless of their access to our system. The XFAIR Customer Care team trained those responsible thoroughly in using our hotel management tool, while of course remaining available for questions at any time. The training covered maintaining and editing hotel allotments, managing bookings and sending booking confirmations. For the latter, we provided an email template that enabled emails to be sent from the XFAIR system in the customer's corporate design (CD).
The lead form stored in the Lead App was configured according to customer requirements so that the staff active on site could capture consistent records without much effort. These records could be reviewed and, if necessary, refined by those responsible with access to the system. With XFAIR lead management, an up-to-date report for evaluation could be downloaded after the end of each day.
Stand staff received name badges printed in advance upon arrival at the stand, identifying them as points of contact for visitors. This time, with the special feature that the badges were made of wood. Another special — and above all practical — gadget at Texcare were the two mobile phone charging stations that XFAIR set up at the stand. Staff and visitors could connect their phones and electronic devices to the power supply for a certain period of time and charge them.

Using our hotel management tool, our customer was able to manage four hotel allotments across four hotels and book up to 210 rooms per night. Throughout this, the responsible coordinators could always rely on XFAIR support from our Customer Care team. With our Lead App, more than 1,000 leads were generated in just four trade fair days.
